We are seeking an Executive Assistant to join our team at the Nissan North Americas Headquarters in Franklin, TN.

Job Summary:
This role will be responsible for administrative support to the Nissan North America Headquarters Executive team.

Job Functions:

  • Provides administrative support to a vice president team including answering telephones, screening calls for assigned executives, and responds to routine internal inquiries as well as external customer inquiries, and/or routes to the appropriate person or department while maintaining customer relations and providing a professional image of the company.
  • Uses discretion and acts accordingly in confidential matters related to the department and company in order to maintain the integrity of the company and its employees.
  • Collaborate with other Executive Assistants to accomplish goals, providing backfill when necessary and coordinating scheduling requirements.
  • Contributes to building brand value and achieving enduring profitable growth.
  • Attends executive meetings, takes notes, and follows up with staff regarding projects and assignments when directed.
  • Maintains and updates executives' calendars of appointments; collects and prepares necessary materials for them prior to scheduled meetings; schedules department travel arrangements and meetings, and keeps staff informed of schedules to help assure all appointments are kept.
  • Assists executives in planning and coordinating off-site business activities and meetings as well as company-wide events for large groups of people. This includes gathering information, interacting with vendors and all levels of management within the company, obtaining contracts and purchase orders, and communicating necessary details of events to those involved.
  • Keeps executives apprised of urgent issues and requests while they are away from the office and handles such tasks on their behalf as necessary.
  • Generates routine correspondence, prepares, and reviews presentations and reports for executive-level meetings with attention to detail to ensure accuracy.
  • Coordinates ordering and maintains inventory control of company stationary supplies, office supplies, and equipment for the department including submitting purchase requests and supply requisitions, submitting invoices for timely payment, and ensuring that departmental employees have the tools needed to perform their assigned tasks.
  • Maintains department records and filing system for quick retrieval and the completion, review, and reporting of department results and special projects; coordinates the review of department records on an annual basis to comply with the company's record retention policy.
  • Develops and maintains rapport with departmental staff and all levels of management to aid in department relations as well as enlisting support for special projects.
  • As necessary, performs other related duties of which the above are representative.

Minimum Requirements:

Experience: Seven or more years of directly related experience as a secretary or administrative assistant.

Education: A high school diploma or G.E.D. One to two years post-high school education preferred.

Computer Skills: Knowledge of general office equipment such as fax, copier, and telephone systems.  Proficient in Word and Excel software with 80% accuracy; Outlook; PowerPoint. Typing 50 wpm.
