WHAT TO EXPECT

 

An opportunity has arisen for an Executive Assistant to join our team, supporting the Executive Director, Industrial Operations (IO). This role is critical to the smooth running of the business and IO Function alongside the Business Office Manager. This role requires a great level of flexibility and comes with a high level of responsibility.

 

As the Executive Assistant you’ll have responsibility of the Executive Director’s diary, as well as assisting with inbox management. This will include prioritising key business activities, managing objectives, managing and preparing paperwork and follow up actions; delivering on time and on quality all tasks assigned to the Executive Director and their function. Working with the Business Office Manager, the ongoing challenge is to maximise the impact of the Director in a very fast paced and dynamic environment.

 

Key Accountabilities and Responsibilities

 

  • Supplier and partner engagement and liaison on behalf of Executive Director, ensuring important relationship management around key activities and visits
  • Assisting, and occasionally leading, on departmental communications across all leadership levels
  • Working closely with Business Office Manager to maximise the efficiency and impact of IO
  • Diary management and administration - managing travel arrangements, booking drivers etc., and keeping tabs on supporting documents
  • Arranging and attending team meetings to take minutes and complete follow-up actions
  • Providing direction on priorities, to include supporting paperwork, deadlines etc., with recommendations

     

WHAT YOU'LL NEED

 

  • Have the ability to organise Executive Director’s tasks, achieve objectives and make recommendations
  • Have the ability to deliver quality and consistency in a complex, highly demanding environment whilst being able to adapt style and behaviour when dealing with different people and circumstances both internally and externally
  • Have excellent computer skills to include Excel, Word and PowerPoint
  • Possess excellent communication skills and be agile and flexible
  • Be a great project manager
