Office Assistant (12 month fixed term contract)
This role is responsible for the administration and office support for our office based in Valkenburg, Netherlands. You will work closely with the General Manager on a variety of tasks and also work in close cooperation with our Global Headquarters in Cambridge, United Kingdom.
Your responsibilities in this role:
- Reception tasks such as dealing with incoming telephone calls and information requests, support to visitors;
- Financial tasks such as preparation of monthly salary payments, processing expenses and support financial administration to UK office;
- HR tasks such as leave management, sick leave, personnel files, coordination of training;
- Arrivals (office, phone, computer, security, access to databases, information systems) and departures (deregistration, etc.) of personnel;
- Office management tasks such as ordering of office supplies and maintenance of stationery, taking care of contacts and responsible for contracts with various suppliers, general and daily maintenance office environment / facility management;
- Ensuring compliance of the Office to Dutch law (i.e. Arbo, Kamer van Koophandel)
- Personnel planning and processing weekly timesheets and preparing reports;
- Organization of meetings and participation in the organization of events (e.g. workshops and conferences);
- Agenda management, managing incoming and outgoing correspondence and documentation;
- Day-to-day support in business travel arrangements, hotel arrangements, preparing visa applications;
- Tasks related to documentation management, distribution/registration of mail and documents;
- BHV Emergency Response officer.
Apply if you have most of the following:
- University degree (or equivalent) in a relevant discipline;
- Several years’ experience in a similar, independent role ideally in an international environment;
- Familiarity with modern electronic office automation and techniques, electronic mailing, customised database, and internet software applications;
- Excellent communication and organisational skills;
- Ability to deal with high workload, stress resilience;
- High level of discretion and professionalism is essential, as is flexibility and a service orientated approach;
- Fluency in English and Dutch is mandatory.
- Experience with Arbo-related matters or legal experience is an advantage
- Proficiency in Microsoft programs (i.e. Excel, Word, PowerPoint & Outlook)
- Proficiency in IFS Programming or willing to learn the programme
- Willing to follow additional training if needed.
